Every bill in one list
Each expense has a category, a supplier, the bill number and its dates, with the photo or PDF attached. Scan a bill and the form fills in for you to check before saving.
Money out, kept as carefully as money in.
Record bills and petty cash with the supplier and the bill attached, pay them in full or in parts, claim back purchase tax, and send it all to QuickBooks Online or Zoho Books.

Pay a supplier in cash and it comes out of the cashier’s open shift, so the drawer and the shift report still balance. Bank and card payments need no shift.
Purchase taxes sit on the same Taxes setup as sales: claimed back, kept as a cost, reverse charged or withheld. The Input tax report shows what you can claim.

Record it, pay it, and it reaches your accounting software. The tax and the cash drawer are handled on the way.
Choose the category and the supplier, enter the amount once and attach the bill. The purchase tax comes from your tax rules.
Pay in full or in parts, by bank transfer, card or cash from your shift. The Expenses page keeps what is still to pay and what is overdue.
QuickBooks Online or Zoho Books receives the supplier, the bill and each payment, on the accounts you mapped.
Sees spending this month, what is still to pay and what is overdue, and the Expense report by category and month.
Pays a supplier in cash from the open shift and attaches the receipt. The shift still closes balanced.
Keeps the accounting categories under Settings › Money › Accounting, maps them to the books once, and checks the Input tax report.
An illustrative day
The fuel supplier delivers diesel for the generator and leaves a bill. The receptionist scans it: the supplier, bill number, amount and GST fill in, and she checks them before saving. The owner pays it in cash from the open shift, and that evening the shift closes with the drawer still adding up. The bill and the payment are already in Zoho Books, on the account the accountant mapped to Utilities, and the GST sits on the month’s Input tax report.
A made-up day to show the flow, not a customer story.

No. Each property chooses: every invoice, credit note and receipt, as guest houses and small hotels usually do, or one balanced journal per day after the night audit, as hotels usually do. Expenses go as bills in the first mode and inside the daily journal in the second.
Enter the bill in its own currency. It is recorded at your accounting rate, and when you pay at a different rate the difference is booked as an exchange gain or loss. The Exchange differences report lists each one.
